Technical Listing Specialist
Reporting to the Director of Warehouse Operations, the Listing Coordinator is responsible for conducting scoping visits, and performing both physical and desktop inventories across various projects.
This role evaluates equipment and project needs, providing technical assessments and recommendations.
The Listing Coordinator researches and defines equipment pricing, uploads technical information into the system, and collaborates with the U.S. team on project qualification activities.
Additionally, the Listing Coordinator promotes inventory services, supports internal transfer requirements from a technical standpoint, and serves as the primary technical point of contact for equipment performance, documentation, and continuous improvement initiatives.
**Please note: This position will be based out of Seekonk, MA, but will require travel - at peak times, may be up to 50%, visiting client sites around the US***
Key Responsibilities
Scoping visits
Perform on-site evaluations to assess project requirements, equipment conditions, and operational needs.
Gather technical data and verify equipment specifications to ensure accurate project planning.
Identify potential risks, gaps, and opportunities for improvement during early project stages.
Physical and Desktop Inventories
Execute detailed physical and desktop inventories across multiple projects to ensure accurate equipment tracking and documentation.
Verify equipment models, specifications, conditions, and quantities.
Identify discrepancies and update inventory data to maintain accuracy and support project decision-making.
Conduct Assessments and Provide Detailed Technical Insights on Equipment and Project Specifications
Evaluate equipment and project specifications to determine suitability, performance, and compliance with operational requirements.
Deliver detailed technical analyses and recommendations to support project planning and decision-making.
Identify potential improvements, risks, and optimization opportunities based on equipment condition and project needs.
Analyze and Define Equipment Prices Through Structured Market Research and Technical Evaluation
Conduct comprehensive market research and technical evaluations to establish accurate and competitive equipment pricing.
Compare vendor offerings, industry benchmarks, and historical data to inform pricing decisions.
Provide clear pricing insights that support budgeting, procurement, and project planning activities.
Ensure all project technical information is systematically uploaded and updated in the system
Systematically upload, organize, and update all technical project documentation within the designated systems.
Maintain data accuracy and completeness to support project tracking, reporting, and decision-making.
Ensure information is consistently aligned with project requirements and internal standards.
Provide Technical Support for Internal Transfer Requirements
Deliver technical guidance to ensure accurate and efficient processing of internal equipment transfers.
Validate equipment condition, specifications, and documentation.
Coordinate with relevant teams to resolve technical issues and maintain compliance with internal standards.
Coordinate and Manage Listing Requests
Receive, validate, and organize all incoming self-post listing submissions from internal teams or clients.
Ensure all required information and documentation are complete before publishing.
Create and Publish High-Quality Listings
Prepare accurate and compelling listings, including descriptions, specifications, photos, and supporting documents.
Upload listings following internal standards and formatting guidelines.
Verify Listing accuracy and Compliance
Review all listing content to ensure technical accuracy, regulatory compliance, and alignment with company policies.
Coordinate corrections or updates with internal stakeholders when needed.
Collaborate Across Departments
Work with sales, marketing, technical, and operations teams to gather missing information and improve listing quality.
Ensure seamless communication to support fast and accurate listing publication.
Monitor Listing Performance and Resolve Issues
Identify errors, discrepancies, or inconsistencies in active listings and correct them proactively.
Respond to listing-related inquiries and troubleshoot issues in a timely manner.
Support Continuous Improvement of the Listing Process
Recommend enhancements to listing templates, workflows, and quality controls.
Contribute to initiatives aimed at improving efficiency, accuracy, and customer experience.
Qualifications
Education
Technical degree in Mechanical Engineering, Mechatronics Engineering or Electrical Engineering.
Experience
1+ year of experience in data entry, content management, customer service, coordination, or administrative support roles.
Experience in [industry: e.g., manufacturing, lab equipment, pharmaceutical machinery, industrial automation] is preferred.
SkillsMechanical and electrical skills.
Ability to read technical drawings, schematics, and manuals.
Knowledge of safety standards and regulatory requirements.
Strong communication and documentation skills.
Ability to work independently and manage multiple priorities.
Strong proficiency in Microsoft Office Suite (Excel, Word, Outlook).
Comfortable working with databases.
High attention to detail with excellent data accuracy and quality control skills.
Must demonstrate excellent English communication and writing skils
Compensation & Benefits
Salary Range: $70,000-$90,000 plus variable component.
